Draft, published, archived and deleted galleries

What draft, published and archived mean for a gallery, and what deleting one removes. Publish, archive or delete from the gallery's menu.

Updated October 29, 2026

You change a gallery's status from the menu on its card in Galleries, or with the Published switch in its Settings (the General tab).

Draft

The gallery isn't public. You can upload, organise and set it up. Anyone who opens its link sees the gallery's Draft mode text (set it in Settings, General), for example: "Photos are on their way. Subscribe and we'll email you as soon as they're ready." Subscriber sign-up works in draft, so you can collect sign-ups before the photos are up.

Published

The gallery is live. People can search, browse and buy or download. You can keep uploading and changing settings while it's published; changes show straight away.

Most photographers publish once all the photos are up, so nobody searches a half-empty gallery. With previews first that can be minutes after the event.

Archived

Archiving tidies a gallery away without deleting it:

  • It moves to the Archived filter in Galleries.
  • It leaves the folders on your FTP server.
  • It's taken out of Find your photos.
  • Its link keeps working and people can still buy from it.
  • Face search ends 30 days after you archive it: the gallery's face data is then deleted, as set out in the biometric data retention policy. Bib search and browsing keep working.

Choose Unarchive to bring it back.

Deleted

Delete removes the gallery and all its photos and videos for good. It can't be undone, and its analytics go with it. Its orders stay on your Orders page.
