Selling and orders
Product lists, free downloads, coupons, subscribers, orders, refunds and delivery.
- Collecting subscribersAdd a subscribe form to a gallery so participants get the "Photos ready" email, with an optional coupon for signing up and pre-orders.
- CouponsCreate discount codes for everyone, for named customers or in bulk from a CSV, limit them to galleries, set expiry and redemption limits, and track use.
- Customers and the "Photos ready" emailSee a gallery's subscribers and buyers, add or import participants, export the list, and send the "Photos ready" email when photos are up.
- Email templatesEdit the subject, title, button and text of a gallery's customer emails, from the subscription confirmation to print order confirmations.
- Export your ordersDownload your orders as a CSV, one row per order or one per item, to search and analyse them in Excel, Numbers or Google Sheets.
- Free download settingsSet the size of free downloads, the label shown to visitors, whether they're watermarked and whether paid products are offered alongside.
- How secure are customer payments?Card payments are processed by Stripe and other regulated payment providers. You never see or handle your buyers' card details.
- Lab or self-managed fulfilmentChoose for each product whether Photohawk delivers it automatically or you deliver it yourself, for edited files, custom products or your own prints.
- Payment methods in MalaysiaMalaysian buyers can pay by card and Touch 'n Go; GrabPay and FPX online banking need your own connected Stripe account.
- Pre-ordersSell photo packages before the event at a lower price. Buyers pay through the subscribe form and get a coupon to redeem when the photos are up.
- Print products and the print labLab prints are made and posted by our print lab, from the location nearest each buyer. You set the price; you can also sell prints you make yourself.
- Product listsA product list holds the downloads, prints and videos people can buy, with their prices. Create one, link it to galleries and edit its products.
- Refund an orderRefund card orders, in full or in part, from the order in Orders. For orders paid another way, contact Photohawk support.
- Resend an orderResend a buyer's download email or WhatsApp message from the order, after checking the email address or phone number they gave.
- Send a customer a receipt through StripeIf you've connected your own Stripe account, send a buyer a receipt for their payment from your Stripe dashboard.
- Sharing or selling photosA gallery can sell photos, give them away as free downloads, or both. What each costs you from 1 November 2026, and how to choose.
- WhatsApp delivery and ReelsBuyers can add WhatsApp delivery or a Reel, a short video of their photos with music. Both are paid by the buyer and don't affect your earnings.
